How-to Guide

Foreign Trade Communication in Practice: Emails, WhatsApp and Video Calls That Sound Professional

Same message, different wording, very different reply rates

Why communication decides close rates

Buyers judge you on two signals before they ever meet you: response speed and clarity. The same quote can close in one reply or die after two weeks - the difference is usually structure and wording, not price.

1. Outreach email: three lines decide everything

  • Subject: state specific value, not "cooperation" - e.g. Reusable packaging option for your EU retail line
  • Line one: why you are writing to them specifically (their category, a show, a referral) - not a company introduction
  • Line two: one fact or option relevant to them
  • Line three: a low-friction ask - "want the 2-page spec sheet?" rather than "hope to cooperate"

2. Daily email: conclusion first

Buyers skim. Use: conclusion, key facts, attachment note, next step. Keep paragraphs under four lines and prefer lists to prose.

Before: We are a professional manufacturer with many years experience and we can supply many kinds of products with good quality and competitive price.
After: We supply XX to EU retailers, MOQ 500, lead time 25 days, BSCI audited. Spec sheet attached - want a quote for 1,000 pcs?

3. WhatsApp and chat etiquette

  • Identify yourself and your purpose first - do not send "Hi" and wait
  • Send short, separated messages instead of one wall of text
  • Check their local time before sending; avoid late-night non-urgent messages
  • Confirm prices, lead times and terms by email afterwards to avoid disputes

4. Running a video call that works

  1. Send an agenda and duration in advance - 15 to 30 minutes is right
  2. Confirm the goal in the first minute instead of ten minutes of small talk
  3. Share your screen to show the line, process or samples - more persuasive than slides
  4. Agree the next step and date live, then send notes within two hours

5. Three cross-cultural reminders

  • Direct is not rude: Western buyers prefer explicit answers; "maybe" makes them uneasy
  • Leave room in commitments: give ranges with conditions rather than promising what you cannot hold
  • Deliver bad news early: delays and price changes land better with a solution attached

6. Common wording fixes

  • Not "Please kindly check" - just "Please check"
  • Not "We will try our best" - "We will deliver by Oct 15"
  • Not "Hope to cooperate with you" - "Can I send a quote for 500 pcs?"
  • Not "very cheap price" - "cost-effective at this specification"

FAQ

FAQ

The buyer read my message and went silent. Now what?

Change the angle instead of chasing. After 48 hours send something new - a policy update, a logistics option, a comparable case or a show invitation. After three to five unanswered touches, move them to long-term nurture.

Can I do export sales with limited English?

Yes, with a system: a scenario phrase library, email templates and a proofreading step. Clarity and specific commitments matter more than elegant grammar.

How should email and chat be split?

Email for formal confirmation and records - quotes, terms, meeting notes. Chat for quick questions and reminders. Always bring key conclusions back to email.
